September 11th, 2006 Booster Club Meeting Minutes

 

Attendance:  Maureen Hargrove, Terry Niedzwiecki,  Janice Schmitt, Diana Kite, Leslie Montgomery, Debbie Hendrickson, Nancy Baliga, Carol Kloppmann, Barb Niven, Petina Porchia, Lora Palmer, Laura Powers.

 

Minutes from the August meeting:  Typo needs to be corrected: ‘ 5 sec.’ needs to be changed to ‘5 secretaries’; Motion to accept minutes as correct by Janice Schmitt, seconded by Leslie Montgomery, passed.

 

Principal: absent

 

Athletic Director:  1. Thanks to the board for working on the teacher appreciation dinner.  Would like to see more teachers sponsored and in attendance.  Approx. 38 this year.  Need to promote more among students. 2.  Need to clear up confusion about request from last month for football water equipment.  The proposal was done by the trainer, not the coach.  They can’t fundraise during season but will postseason.  Athletic dept. bought needed water equipment.  No more needed from booster board. 3.  Chairs:  See written proposal for purchase of chairs to be used in the gym for sports events.  Now using very old chairs; good ones stolen.  Proposal to purchase 30 chairs; 15 for each side of scorer’s table.  Will also purchase storage truck and lock and provide safe storage place.  Ordering time 4-5 weeks. 4.  Ice machine in department barely working; 12 years old; too small, holds 50 lbs of ice; need new machine.  Diana (trainer) will make proposal; need 250 to 300 lbs machine; ROTC needs ice too and may share cost.  Cost may be around $2500. 5. 305 athletes in fall sports. 6. Tutoring program for 2.0 requirement delayed and changed over summer to repeat 6 week sessions with approval. 9 kids currently in program (mostly football players). REA vs. Administration conflict now resolved.  Need 1 tutor for every 15 kids.

 

Maureen:  For the August Fall festival suggestions for next year: 1. Can we get an announcer as it seemed too quiet? 2. Put football scrimmage first to attract more parents?

 

Treasurer’s report:  Kathryn absent; report by Maureen: Bills paid; Kathryn having computer problems; will e-mail board up-date when available.  Now have separate account for weight room funds; Marilyn White will do taxes.

 

President’s Report: 1. Market day will probably continue at Eisenhower.  First pick-up covered by Vicki Benson and YWLO.  2. OTW went well. 3. Calendar Raffle is tying up a few outstanding checks.  $300 more donated back; about $2500 in account; should be all done by next meeting. 4. December meeting moved to 12-4-06 (first Monday). 5. Website will be done by Teague Algie.  6.  Thanks to all the workers who worked all projects over the last few weeks.

 

Fundraisers:  1. RRS spirit voting; can revote continuously while logged in. 2. Cell phone recycling – one box of 50 mailed; may need more advertising; add information to school website. 3.  Soda bottle recycling- 20oz soda only; fill present box; labels need to be removed; can leave caps on.  Janice will work on getting Coke recycle bins for teacher’s lounge, school café, concessions stand inside and out. We get $0.05 per bottle; 70 bottles fit in a box.  No shipping cost. Should have standard announcement for announcer at games.  Give one year trial on project.  Motion to give money raised by bottle recycling to weight room funds, by Janice Schmitt, seconded by Leslie Montgomery, passed.  4. Air Show: Sept 23 & 24; have 5 lemonade and pretzel carts; get 10% of profit and tips.  Need 15 workers per day for all day 8:30 to 4:30 shift; workers get free admission; need 3 people per cart; sign-up passed around; could make up to $2000 for the weekend.  5.  Value cards on hold. Stephanie Whittington could not find card rep. and is absent tonight.  Barb Niven: knows of another company with better profit margin to be invited to present at next meeting.

 

Weight Room: Barb Niven: Fundraising plans: 1. Mass mailing all of Auburn parents by Oct. 15.  2. Single sponsorship idea has decent leads with the incentive to get to name the room. 3. Collecting change at school events at concession stand. 4. Tips from Air Show. 5. Is Life Safety money available?  Will check with Todd Schmitt.  6.  Piggy Banks for board members to take home and collect change.  7. Grants: 10 to 12 private donors and churches possibility. 8. Have permission to run all school dance Oct. 20.  9. Contact RRS about getting story done. 10. Official cover letter for people to pass out when personally soliciting funds. Can give names to Barb for letters to be sent out.  11. Funds committed to date:  $100 from Tim Dimke, $500 from Class of 2004, $1000 from Barb’s in-laws; ?$5000? From Athletic budget; ??new principal able to give what Ms. Hawkins promised last year.  12. More information needed from AD on equipment and site for promotion.  13.  Motion The $5000 in CD due in March of 2007 to be committed to weight room if full funds are not raised, by Barb Niven, second by Leslie Montgomery; discussion: A. We don’t have a quorum B. Need treasurers report to determine if club has enough operating funds to make this commitment. Motion tabled. 

 

Concessions: Diane Kite: Have enough help for 1st shift next game (4 to 7) need more for 2nd (7 to clean-up).  Volleyball has parent with ill child will need help for games. Sept. 26 needs volunteers and Ami Marshall will be contacted as wanted hours for WEYSE group.  Concessions volunteer sheet to be sent to Diane by Nancy Baliga.  New stove had to be purchased along with 2 coffee urns for hot chocolate and a 3 burner Bunn coffee maker.  Should be about $400 as sharing cost with Jefferson. Need lightweight tables for set-up/cooking/wrapping area.  We need new grills.  Have $300 Home Depot gift certificate to use.  Diane will price grills and get back to us with prices ASAP.

 

Spiritwear:  Maureen: Sold $6606; spent about $10,000.  Sales as expected per last year.  Collected $2,125 in membership fees.  Tent fell apart at last Friday’s football game.  Maureen bought a new one for $64.

 

Athletic buttons: Carol Kloppmann: Sold well at football game.

 

New Business:  Mixer Oct 20th   after football game; need chaperones.

 

Next Meeting Monday Oct. 16, one week late due to Columbus Day holiday.
